The Office Move Checklist: Planning a Commercial Move That Doesn’t Stop Work
Residential moves are measured in hours; office moves are measured in downtime. Every decision below exists to protect one thing — the business opening on Monday.
8 weeks out Lock the constraints
One coordinator with authority — a single decision-maker for the mover, both landlords, and IT.
Both buildings’ rules in writing: COI limits and named insureds, dock hours, freight elevator reservations, protection requirements (masonite, corner guards), after-hours-only windows.
Inventory triage: what moves, what’s replaced, what’s decommissioned or donated — moving furniture nobody wants is the most common overspend.
Book the mover with a walkthrough of both sites — zone maps, crew size, and the after-hours window set the quote. That’s the standard commercial moving scoping process.
4 weeks out IT drives the date
Internet install at the new suite — order it now; circuit lead times are the thing you cannot compress later.
Cutover plan: who disconnects, what’s imaged/backed up, how servers and network gear travel (padded, upright, chain-of-custody), who reconnects and tests.
New-space plan taped to the wall: a zone map (A/B/C…) with every desk, office, and room numbered — crews deliver to labels, not to memory.
2 weeks out People & packing
Employees pack their own desks into labeled crates/boxes (zone + name) with a hard deadline the day before the move; common areas get packing crew hours.
Furniture teardown scheduled — cubicles and conference tables come apart before truck day, hardware bagged per unit.
Update the world: address on Google, invoices, vendors, mail forwarding, building directories.
Move weekend The zone-map run
Friday close: IT disconnects and stages; crates staged by zone.
The move: building protection down, freight elevator window used end-to-end, everything delivered to its zone label.
Sunday: IT reconnects and tests; punch-list walk of both suites (damage, leftovers, keys/badges).
Monday: open. The empty-suite walkthrough with photos closes the old lease cleanly.
We’ll walk both sites, map the zones, and quote the after-hours window in writing — so the only thing employees notice is the new address.
